1. Define the outcome

Name the process that must improve

Document the current delay, error, or control gap. Give it an owner and a measurable target such as a faster close, fewer invoice corrections, or more reliable stock visibility.

2. Test operational fit

Use your real scenarios

Ask each vendor to demonstrate your approval paths, exception cases, reporting needs, and integrations. A generic product tour cannot confirm implementation fit.

3. Compare the full commitment

Include rollout and ownership

Compare subscription, setup, migration, training, support, internal administration, and future integration work. Confirm responsibilities before you compare final prices.

Questions every shortlist should answer

  • Which processes are included in phase one, and which are deferred?
  • Who cleans, maps, and validates opening data?
  • How are approvals, corrections, and audit evidence handled?
  • Which integrations are standard, configurable, or custom?
  • What support is included after go-live?
  • How will success be measured 30, 60, and 90 days after launch?
