Who this checklist is for
Use this guide if your team manages delivery vehicles, service vehicles, company cars, field-team vehicles, rented vehicles, or branch fleets. It is especially useful when fuel, maintenance, assignment, and renewal data are split across spreadsheets, paper logs, or chat groups.
If your fleet is also part of the asset register, review Assets implementation checklist and Fleet implementation checklist.
Before implementation
Do not start by only listing vehicles. Start by defining what business control the fleet workflow must provide.
- Confirm the vehicle categories and ownership model.
- Clean vehicle records, plates, locations, and current status.
- Define driver assignment and handover rules.
- Identify maintenance, fuel, inspection, insurance, and renewal requirements.
- Decide which costs need reporting by vehicle, branch, driver, or project.
This ensures the fleet system answers operational and financial questions, not only storage questions.
Phase-one fleet management checklist
A practical first phase should make each vehicle traceable and actionable.
- Vehicle master data is cleaned and approved.
- Driver, branch, location, and custody fields are mandatory.
- Assignment and return workflows are documented.
- Maintenance schedules and renewal dates are loaded.
- Fuel, mileage, inspection, and issue reporting rules are agreed.
- Vehicle status values are standardized: active, assigned, under maintenance, unavailable, retired, or sold.
- Managers can review overdue actions, downtime, and operating cost patterns.
The first objective is to stop losing the operational story behind each vehicle.
Governance and cost control
Fleet data touches operations, finance, HR, procurement, and branch management. Define who can assign drivers, approve maintenance, record fuel, update mileage, close inspection issues, and retire vehicles. Also define which costs are operational expenses and which should be reviewed as asset-related events.
Use Trust to clarify access, approval, and ownership rules before launch.
Recommended modules
- Fleet Management for vehicle assignments, inspections, fuel, maintenance, renewals, and operating history.
- Assets for lifecycle, custody, and depreciation control.
- Accounting for cost tracking and financial reporting.
- Procurement when maintenance suppliers and purchase approvals need control.
Common mistakes
- Tracking vehicle identity but not driver assignment.
- Treating fuel and maintenance costs as disconnected expenses.
- Skipping renewal and document reminders until an issue occurs.
- Allowing branch teams to use different status definitions.
- Launching reports before vehicle records are clean.
Next step
Prepare five representative vehicles for a guided demo: active, assigned, under maintenance, renewal due, and retired or sold. Include cost and ownership questions for each.
